Privacy Policy

Stewrd is developed and operated by Scott Rear, trading as Stewrd (contact: Stewrd.app@gmail.com). This Privacy Policy explains how your information is handled when you use the Stewrd app. We are committed to protecting your privacy and handling your data in an open and transparent manner, in line with UK GDPR and the Data Protection Act 2018.

1. Our commitment to your privacy

Stewrd is built on the principle that your workplace information belongs to you. Workplace cases are sensitive — they may involve disciplinary proceedings, health information, or personal grievances. Our approach to data reflects the seriousness of what you're recording.

Core principle: Stewrd does not share your case records, notes, or chat content with your employer, HR departments, or any organisation you are in a dispute with. To answer your questions, your messages and case details are sent to Anthropic, an AI provider based in the United States — but nothing goes to your employer. Your record is yours.

Your case records, notes, and evidence files are stored locally on your device. Stewrd is built around the principle that your data belongs on your device — not on our servers.

When you send a message in the chat, that message is transmitted to our server infrastructure to generate an AI response. That infrastructure uses third-party processors based in the United States — see section 7 ("Where your data goes") below. Message content is not retained on our servers after the response is delivered, and is not accessible to other users.

Evidence files and photos you attach remain on your device only.

We use your data only to provide the Stewrd service to you:

We do not use your case content for advertising, marketing, AI model training, or any purpose other than delivering the app's features directly to you.

When you send a message in the Stewrd chat, your message — along with relevant case details you have shared in the app, including your profile information — is sent to Anthropic PBC, an AI company based in the United States, to generate a response. This is necessary to deliver the service. Anthropic processes this data as our processor under agreed data processing terms, which prohibit use of your content for AI training purposes. Your chat messages are not retained on Stewrd's servers after the response is delivered.

Your data is not shared with any other user, and nothing is shared with your employer or any organisation you are in a dispute with.

As part of delivering Stewrd, your data is processed by three third-party services, each based in the United States:

We rely on appropriate safeguards under Chapter V of UK GDPR for each transfer. None of these permissions are used to collect data in the background. All use is user-initiated.

9. Case pack exports

When you choose to export a case pack, it is delivered directly to you via your device's standard share functionality. Stewrd does not transmit your export to any third party. You control where your case pack is sent.

10. No account required

Stewrd does not require you to register with a name or email address to use the app's core features. No personal profile is created or stored by Stewrd's servers.

Case data stored locally on your device is retained until you delete it within the app or uninstall the app. Server-side processing (chat messages) is not retained after the response is delivered. In-app purchase records are managed by Google Play / Apple App Store in accordance with their own retention policies.

Stewrd is intended for adults in workplace environments and is rated for users aged 16 and over. We do not knowingly collect data from anyone under 16 years of age. If you believe a person under 16 has used the app, please contact us and we will take appropriate steps.

16. Changes to this policy

We may update this Privacy Policy as the app develops or as legal requirements change. Material changes will be communicated via an in-app notice or by updating the date at the top of this page. Continued use of the app after changes constitutes acceptance of the updated policy.
